Fully Hosted Buyers:
Fully hosted buyers mean the meetings, events and business travel professional who has applied to be a Hosted Buyer and has agreed to these Terms and Conditions and has been accepted by the ASEAN Tourism Forum Official Organizer to attend the Travel Exchange/ B2B Session where complimentary accommodation, transfers and/ or flights are provided by the Organizer.
Criteria for fully hosted buyers:
All fully hosted buyers MUST:
- Have the potential for researching, organizing, influencing, or making budgetary decisions for international events (placed outside of their home country);
- Have at least three confirmed or planned events or groups due to take place in the next three years.
- Have sent several groups to Indonesia in minimum three consecutive years;
- Have wholesalers partners in Indonesia;
- A decision maker (C- level) or major influencer in the company
- Attend the show for full days according to their program dates meeting with exhibitors;
- Fulfil scheduled appointment minimum six appointments with exhibitors per day – these can be a mix of individual appointments, stand/booth presentations and pre-scheduled group appointments;
- A hosted buyer cannot change groups after their application has been accepted and they have been confirmed into the hosted buyer program
- Organizer will only accept one hosted buyer application per buyer. In the event of more than one application being received, the first application will be processed.
- For TRAVEX Buyers, no refunds are given after the date of Buyer’s acceptance of his invitation.
Hosted Buyers Program inclusions
- Complimentary economy- class flights from home country VV;
- All ground transfers in Yogyakarta between airport, hotel and venue ATF 2023;
- Hotel accommodation (room and breakfast only) for program dates;
- Access to the Hosted Buyers Lounge (complimentary refreshments and Wi-Fi)
Hosted Buyers Program exclusions
- Any personal extras at the hotel such as laundry, mini-bar, spa etc. These should be settled personally directly with the hotel upon checkout and your departure.
- Meals (excluding dinner program)
- Hotel upgrades
- Taxi fares if arriving/ departing outside hosted buyers programme dates
- Visa/ Visa waiver application fees
- Travel insurance - ensure that you have comprehensive travel insurance to cover your trip to attend IMEX America. This should cover:
- Cancellation, alteration, curtailment, rearrangement, replacement or terrorism
- In the event of illness, personal injury or circumstances beyond your control which prevent you travelling to or from ATF 2023 as planned
- Medical expenses – in the event that you need medical treatment or emergency repatriation
- Personal property and business equipment – in the event of loss, theft or damage
- Political and natural disaster evacuation such as war, floods or volcanic eruption
- Personal liability
- Death or personal injury

- Accredited Hosted Buyers may be hosted with economy flights and/or hotel accommodation. Hosted Buyers are requested to book their own economy class flights (reimbursement will be provided subject to a cap amount) and provide their check-in/out dates. Complimentary hotel accommodation will be allocated by the organiser based on the dates provided in the agreement
